We have a fixed term opportunity for a Procurement Operations Coordinator to join us for 6 months. Working within the Procurement Operations Team, this position is vital to the Institute as an integral role that is a key point of contact for Procurement.
About the role:
You will provide support on operational activities to ensure that the scientific and wider Campus community receive excellent customer service, from every interaction, to achieve value for money and excellent standards of supply.
As well as maintaining and developing effective relationships you will be responsible for liaising with internal customers keeping them updated on queries and progressing orders.
This will require the Procurement Operations Coordinator to:
Provide administrative and operational support to the Procurement Team
Deliver first class customer service to our stakeholders and ensure that enquiries are completed professionally and efficiently
Provide support and insight to scientists with non-procurement backgrounds to allow them to focus on their scientific goals.
To build and maintain good relationships with new and existing suppliers and end users to maintain a high quality service to all departments in a complex and evolving environment.
To work independently to ensure a continuous improvement mind-set.
Management of the Procurement Mailbox and Helpdesk – handle requests where appropriate.
Management of Price Files and Framework Agreements for key suppliers.
Management of day to day purchasing and Low Risk Low Value Procurement activities.
Monitor sundry purchase activities through the quotation and delivery processes.
Track the progress of non-stock overdue shipments and escalate problems.
Manage the on boarding process of new suppliers.
Assist suppliers, Finance and Accounts Payable with PO delivery and invoicing queries.
Work closely with Finance, Accounts payable and Finance Systems Team.
Maintain personal / professional development to meet the changing demands of the role.
Essential Skills:
Previous experience working in a similar role/Procurement team.
Strong knowledge of Microsoft Excel and Microsoft Word – confident with Pivot and vLookUp.
Excellent attention to detail.
Ability to make quick decisions and work independently.
A people person with a desire to deliver above average levels of customer service
Strong communication skills; face to face, written and via telephone / email
Strong organisational skills and able to balance your workload with deadlines.
Negotiation and conflict resolution skills.
Flexible and adaptive approach to change
