• Serve as primary timekeeper and act as a liaison between the Resource Management Office, supervisors, and employees to resolve problems with pay, allotments, new employee information, timekeeping errors, and other related functions.
• Oversee and coordinate general administrative functions of the Division HQ to include correspondence, mail, publications, records management, preparation of travel orders and vouchers and general administrative support.
• Serve as Records Coordinator and provide oversight and guidance on proper use of filing system.
• Serve as Government purchase Card holder responsible for purchasing of services, supplies, and training.
• Assist with the planning and execution of various ceremonies, conferences, training, town halls, etc.
• Ensure compliance of Army program policies and regulations with all purchases and record keeping requirements.
• Ensure overtime and compensatory approval as well as tracking all special needs such as advance leave, LWOP and family leave program.

• Perform and/or provide guidance on such matter as fiscal administration using the automated Corps of Engineers Financial Management Systems (CEFMS) system, training, correspondence, timekeeping, mail management, and record management.
• Deliver a variety of administrative and support type duty in such area as administration, travel, training, files and correspondence management, fiscal administration, personnel administration.
• Serve as a liaison between the Section and the Finance Office assuring all CEFMS data is processed correctly and in a timely manner.
• Serve as an administrative focal point for the Branch.
• Conduct a physical property inventory periodically and prepares applicable reports and documents on such items as necessary.
• May initiate training requests/actions.
• Receive visitors and callers to the Branch involving inquiries concerning a variety of substantive administrative and/or technical issues.

• Provides administrative services support to the Branch OIC/NCOIC and other team members.
• Assists the OIC/NCOIC in submission of requests for equipment to the RMD/Contracting Office.
• Prepares the annual branch travel budget.
• Makes travel arrangements using the Defense Travel System.
• Reviews travel authorizations and vouchers for the activity for accuracy prior to approval.
• Responsible for maintenance of records and files, utilizing a variety of office automation applications.

• Receives children, youth, parents, and other visitors in a courteous and professional manner. Answers telephones, ascertains nature of call, and directs caller to appropriate staff.
• Ensures parents, children, youth, and visitors properly sign into the program prior to passing the reception area of the facility. Monitors children’s departure to ensure only authorized individuals remove them from the building.
• Registers/terminates children/youth within the CYS program and/or waiting list database. Utilizes the Child and Youth Management System (CYMS) to record transactions for customers and to enter data into predefined categories for reports and tracking.
• Provides administrative support including mail preparation, copying, distribution, correspondence, memorandums, briefings, Daily Activity Reports, and other requirements for day-to-day operations.
• Articulates policies relating to patron fees, waiting lists, enrollments, terminations, and program events. Coordinates vacancies and reservations for the hourly care program as required.

The Opportunity

This position works out of our Plano, TX site in the Neuromodulation division. Our Neuromodulation business includes implantable devices compatible with mobile technology to help people who suffer from chronic pain and movement disorders. These non-opioid therapies allow us to provide interventional pain therapy to patients throughout the pain continuum.

As the Administrative Assistant, you will provide primary administrative and overall support and coordination for the DVP of Operations and their staff. As the Administrative Assistant you will complete special assignments and projects as required to enable efficient departmental operations.  This individual will interact with key internal and external stakeholders so a high level of professionalism is required.

What You’ll Work On

• Assists with meeting arrangements, calendar management, travel arrangements, expense reimbursement, invoice processing and other administrative tasks as required.
• Leads, organizes, and manages all details related to event planning for corporate offsite meetings.
• Creates, edits and reviews, proofreads and manages complex documents, spreadsheets and presentations requiring aggregation of materials, inputs and comments from multiple stakeholders – demonstrated proficiency with MS Excel and PowerPoint is especially critical
• Submits invoices payment processing
• Sending weekly LMS Training, monthly reviews and employee announcements for the R&D organization
• Provides general office support which may include, but are not limited to; mail distribution, answering telephones, filing, catering, ordering supplies, etc.
• Prepares and updates reports, memoranda, and correspondence as required
• Applies a high attention to detail and creates a high degree of organization to ensure high quality work product and adherence to deadlines. Must be very detail oriented, organized, self-motivated to follow through on requests (without requiring follow-up), and perform professionally under pressure and with limited direction.
• Leads special projects as assigned.
• Performs other related duties and responsibilities, on occasion, as assigned.
• Timesheet/invoice submission for HCP consulting services.

Required Qualifications

• High School diploma or equivalent.
• 3+ years of senior-level administrative experience.
• Highly- skilled in providing administrative support to leaders at the top level of an organization.
• Event management experience
• Proficient in the use of the Microsoft Office Suite products i.e. Outlook, Word, Excel, Visio, PowerPoint, Project SharePoint. 
• Proficient with managing and submitting Concur expense reports
• Proficient with scheduling and reserving travel (Domestic/International ) for the executives’ travel needs via Concur.
• Excellent interpersonal, written and verbal communication skills.
• Demonstrated ability to handle difficult situations and/or communications tactfully and professionally.
• Able to work with people at all levels of the organization.
• Ability to handle multiple priorities and operate with a sense of urgency as required.
