Radiology Department Assistant - Main Duties and Responsibilities To assist in any administrational duties required to ensure a full outpatient service is provided in the Outpatient reception, Outpatient Call centre and the Booking Teams. To be flexible to a wide range of duties and appropriate tasks on rotation as designated by the Outpatients Supervisor in order to ensure the smooth running of the department. Including covering for colleagues in times of sickness/absence and high workloads. Greet patients and visitors in a pleasant and professional manner, providing a courteous reception service. Excellent communication skills and ability to deal with queries from patients, relatives and carers. To proactively deal with potential situations of conflict, to diffuse and prevent patient complaints. To regularly deal with patients either face to face or via telephone or email who may be emotional or challenging. Liaison with staff both within and outside of the department, GP surgeries and other healthcare professionals on any matters relating to patient referrals/queries. Answer all telephone calls into the department promptly in line with the Outpatient Call centre KPIs, speaking to our patients and callers with respect and courtesy, be positive and helpful in providing excellent service and assistance. To participate in call reviews and call monitoring to achieve department KPIs. To monitor and action all incoming emails to generic outpatient team inboxes. Ensure all patient demographics are captured accurately and any changes updated on the Trust PAS when notified. To manage new referrals and outpatient appointment waiting lists in line with RTT national targets. To receive and respond to appointment requests. Booking, cancelling, and rescheduling all new and follow up outpatient appointments in line with the Access Policy and agreed clinic booking rules via the Trusts PAS systems. Liaise with relevant specialty service managers and teams to escalate capacity, waiting list and service issues that require urgent action. To check patients in and out of their appointments in real time via the Trusts PAS systems. Complete the checking out process, recording the appropriate outcome and 18-week RTT status documented on the outcome form and booking any respective appointments, ensuring all clinics are cashed up at the end of each day. Imaging Clerical Officer - Main Duties and Responsibilities Responsible to receive patients, carers, relatives and other staff, as they arrive in the department in a pleasant, helpful and caring manner. Confirm patients identification and complete any necessary data, e.g. ethnicity, patients telephone number, etc. on to iCare/Cerner and ensuring the data is transferred to the Radiology Information System (RIS) Responsible for directing patients through the Imaging department. Responsible for handling and assisting patients/visitors with queries of a sensitive nature, explaining procedures in laymans terms, what to expect in procedures, in the absence of a clinical staff, stressing the examination requirements, as per agreed procedures. Required to liaise with diagnostic coordinator with updates of patient delays i.e. sudden peaks in patient arrivals. Ascertaining the needs of patients and visitors and taking appropriate action, such as advising on waiting times and how to obtain results of examinations. Responsible for handling telephone and reception queries from patients, other hospital staff and General Practitioners. This will include advising patients regarding preparation for their examinations and taking details of cancellations ensuring they are acted promptly upon including updating RIS (Radiology Information System) accordingly. Responsible for handling enquiries from clinics, doctors and other hospitals requiring a copy of reports and printing and faxing these as necessary. Responsible for ensuring that paper referrals received are date/time stamped and then entered onto RIS (waiting list) prior to the appointment letter being sent. Responsible for booking patients for their examinations and issuing appointment letter to the patient, ensuring that relevant leaflet(s) and any special preparation for the examination are also sent. When booking patients, checking that all booking notes are complied with and the patient is booked appropriately for the correct Radiologist/Radiographer or Sonographers. Responsible for maintenance of the waiting list and advising the Imaging Lead Administrator of issues especially possible breaches before they arise so that actions can be taken early to ensure breaches do not occur.

To maintain and update a variety of systems used within the call centre and kiosks, To assist in the induction and training of new and temporary members of staff in the department. To participate in the PDR process to ensure personal skills are enhanced. The Head of Information Governance (Information Rights and Records Managementwill:

· Establish and maintain the trust as a leading provider for Information Rights And Records Management.



· Develop and deliver training and guidance specific to the context of the trust accounting for the new requirements and structures under the Health and Social Care Act 2012.



· Outline, in conjunction with colleagues, the requirements of assurance and risk management on information governance and to ensure that particular stakeholder demands are met.



· Support the development of a community of practice between stakeholder leadership and staff to ensure they are able to evaluate assurance and requirements across the information governance agenda (information asset owner audit returns)



· Develop a systematic approach to information governance with clear systems of prioritisation, change management and control.



· Ensure stakeholder understand the standards required for information governance and risk management and their implementation in standard working practice.



· The co-ordination and leadership of an information governance assurance model, ensuring that where services are provided by a third party that an assurance model is in place and is supported by contractual (or equivalent) terms.



· Deliver the expected standard of investigation and action on information incidents or potential breaches of the data protection act or confidentiality, in line with the relevant organisation’s controls.



· Deliver operational support and assistance on site with stakeholder and engagement in routine business and development, to support the appropriate, proportionate and timely consideration of information governance issues in strategic and operational decisions.



· To be able to assess the quality of assurance provided on information governance and advise or escalate as required by circumstances and agreements.

· Manage and support the delivery of information asset register.



· Support Information Asset Owners and SIRO in the management of Risk, through the delivery of information risk register and associated action plans. Monitor actions delivered by key providers and escalate as necessary.



Support the nominated Information Security Officer(s) in delivering the information security assurance programme. Provide updates on key risks and priorities arising from ICT environment and changing requirements.



· Provide advice on guidance on changes to be considered to improve patient outcomes and business efficiency, through process review and technology.



· Lead on information incident management and investigation, managing ICO complaints and support functions in managing incidents from providers.



· Support and delivery of guidance for contracts (with third party suppliers) and commissioning of services to ensure IG elements are incorporated and best practice is followed where possible.



· Management of delivery of Data Processing Agreements and contract terms where necessary and in conjunction with legal advice.



· Support IT service in the provision of appropriate filing structures, access control and management of electronic information.



· Highlight and management of risk to the stakeholder (where supported by terms of contract with providers).



· Provide data protection expertise (legal/statutory requirements) where necessary including: design and delivery of privacy information, guidance on the required consent model and engagement with patients.



· Receive and manage data relating to extremely sensitive matters regarding data use, lawfulness of processing, and ethical standards.



· Work with stakeholders to develop key strategies covering the information governance agenda



· Support the scoping, design and project to delivery de-identification/ pseudonymisation projects and processes from an IG perspective.



· Liaise with Informatics and IT teams to ensure legal compliance and governance standards are met and implemented.



· To oversee team members to deliver the requirements listed above; engage and liaise with key stakeholder, in particular:



o To support the delivery of day to day activities and projects.
