SERVICE DELIVERY Support, develop and maintain systems and processes to ensure services are effectively implemented and evaluated according to Trust policies, procedures, and guidelines. Provide operational management, providing expertise, advice and guidance. With the support of the senior management team, support and lead where appropriate on the review and development of service and workforce plans. Analyse and act on information to proactively manage and maintain NHS targets. Manage information generation, collation and analysis of data e.g. preparation of papers for Programme Board meetings, Bed Management Reports etc To assist with the control of expenditure, ensuring it remains within budget for all administrative areas. Plan, organise and monitor the administrative services of the Medical Imaging department by working on own initiative to monitor the workload and flow of activity, ensuring the smooth running of the service by prioritising the workload, workflows and implementation of new initiatives, with conjunction with the senior team. To advise the senior management team on issues regarding resources and staff Provide highly complex and specialist knowledge and understanding of data collection methods and influencing operational factors in order to compare and present accurate statistical data Critically analyse statistical information in collaboration with clinical colleagues to ensure reliability, accuracy and consistency. Assist in the forecasting of future activity in collaboration with clinical colleagues based on activity trends, taking into account of changes in clinical practice. Monitor quality of waiting list data input and take appropriate remedial action. Investigate and contribute to the response to written complaints. Organise basic audits and collect data to assist with the planning of changing services or organisational procedures. Develop and implement processes which support regular data collation to inform Service Performance including ad-hoc audits as required. GOVERNANCE To support the maintenance of systems and processes to establish and maintain effective communication, and confidentiality of information. Promptly and positively address risk reports/complaints etc., in line with Trust Policy. Support on the development and implementation of policies, procedures and guidelines related to the service, and contribute to the development of other policies. Ensure a healthy, safe and secure working environment, ensuring compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns. MANAGERIAL/LEADERSHIP Responsible for the overall management of the administration and clerical staff employed in the medical imaging department. Provide leadership, motivation, support and developmental training to staff in managing the staff group effectively and efficiently, in accordance with Trust HR Policies and Procedures. Oversee the management of admin staff absence in liaison with Human Resources and Occupational Health Departments Carry out performance review interviews for staff ensuring that training and developmental needs are met. Critically analyse the replacement of vacancies and, where appropriate, re-design the staffing profile to meet the current and future changing service needs and to achieve service objectives and efficiencies. Participate in recruitment and selection process for administrative vacancies where appropriate, including all associated paperwork. Involvement in the resolution of and decision making relating to staffing issues, including involvement in grievance and disciplinary procedures. Responsible for ensuring that the Administration staffs working environment and practices conform to Health and Safety standards and that regular risk assessments are carried out with the appropriate follow up action being taken Promote and display Trust core values of care and compassion, dignity and respect, openness, honesty and responsibility and quality and teamwork in the discharge of duties. To be responsible for the day-to-day management of administrative and clerical staff within the Department, including recruitment and selection, deployment, training, disciplinary matters and the management of sickness and absence. Act as a role model by demonstrating leadership and expertise, and by maintaining credibility within the Department, the wider health care community, and external agencies, ensuring a positive image of the Trust is maintained. Support development and maintain systems and processes to ensure that work is appropriately prioritised and allocated, and that effective supervision is in place to support work delegated to staff. Support, develop and maintain systems and processes to ensure that staff appraisal is in place for administrative and clerical staff within the Department. Support the Department ensuring that recruitment, staff induction and orientation, and mandatory training of administrative and clerical staff take place according to Trust policy. Support and maintain systems and processes to promote, monitor and maintain a healthy, safe and secure working environment, ensuring compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns. Identify relevant equipment needs for the department in conjunction with medical staff, and authorise as appropriate, including supervising the purchase of stationery supplies for administrative staff.
