Permanent Part-Time opportunity based in Bendigo for an Admin Assistant
Your new Role:
We are seeking a dedicated and versatile Administration Assistant to join our dynamic team. The role is a permanent part-time opportunity, 3 days a week, based in the Bendigo CBD. This role is pivotal in ensuring the smooth and efficient operation of our business by providing comprehensive support to both the Executive Management team and the wider team. You will be involved in a variety of tasks that span across finance, sales, general administration, and marketing.
Key Responsibilities:
Finance/Office Management Support:
Accounts Payable and Receivable: Manage the processing of invoices, ensuring timely payments and accurate record-keeping.
Weekly Invoicing and End-of-Month Reconciliation: Prepare and send out invoices weekly, and assist in reconciling accounts at the end of each month.
Inventory and Office Supplies Management: Maintain the inventory system within company program, ensuring all office supplies are stocked and ordered as needed.
Staff Events and Wellbeing Initiatives: Assist in organising staff events and wellbeing initiatives to foster a positive work environment.
Sales Administration:
Quoting and Procurement: Act as the primary resource for quoting, managing the procurement process through internal programs.
Sales Ticket Handling: Handle sales tickets efficiently, ensuring all client requests are addressed promptly.
Vendor and Supplier Relationships: Build and maintain strong relationships with vendors and suppliers, understanding their escalation processes.
General Administration:
Phone Call Management: Answer and direct incoming phone calls, providing excellent customer service.
Ticket Logging and Documentation: Log tickets as requested by clients and assist in creating client-facing documentation and training videos.
Event Coordination and Calendar Management: Coordinate company events and manage the weekly company event calendar, ensuring all appointments and meetings are well-prepared.
Marketing Administration:
Event Coordination: Assist in coordinating marketing events, ensuring all details are managed effectively.
Content Formatting and Editing: Format and edit internal and external content, maintaining a high standard of communication.
Outbound Sales Campaigns: Provide support in executing outbound sales campaigns, helping to drive business growth.
