What you’ll be doing as a Document Manager
You’ll be supporting the Thames Water (TW) Strategic Resource Option (SRO) Portfolio team to deliver Client-side Document Management under the direction of the Senior Information Manager and in the frame of the SRO Digital Strategy.
The Document Manager is responsible for accurate management and safeguarding of the SRO portfolio documentation generated by the Thames Water team and technical partners in support of the project requirements. This includes, but is not limited to, processes and procedures, manuals, reporting, correspondence and other supporting documentation.
This role involves working to tight deadlines and ensuring that all parties, both internal and external, are following consistent processes and procedures.
The role is required to effectively deliver document control and management strategies, performing regular audits to confirm the compliance of the information deliverables and the alignment to the information production methods and procedures.
This is a progressive portfolio that requires the candidate to be open to changes on priorities and deadlines.
Day to duties include:
- Working closely with the Senior Information Manager, ensuring standards, systems, procedures and processes are effectively applied and managed across the project’s portfolio.
- Support the development and implementation of a Document Management Plan.
- Be the central point of contact across internal and external stakeholders, proactively identifying, chasing, and resolving issues relating to the information management systems and processes through audits, continuous review and individual usage feedback.
- Maintaining project CDE tools, project file structure, containers, and workflows. Manage and monitor access control adding and removing users and setting user access rights.
- Conduct and oversee quality assurance of documentation and information exchanges in line with Thames Water requirements, BS EN ISO 19650 and the UK BIM Framework guidance.
- Support information management and collaboration through the company platforms e.g. SharePoint, Asite.. and the relevant stakeholders’ tools (e.g. ProjectWise) as per the project requirements.
- Ensure Published documents are accurate, comply with company standards and policies and protect and secure confidential and proprietary information.
- Ability to support the delivery of training related to information systems, tools and processes.
What you should bring to the role
- Previous experience managing a small team of Document Controllers.
- Understanding of how information management practices can bring about tangible process improvement.
- The ability to support multiple stakeholders and promote collaborative relationships.
- Experience in conducting and overseeing information management practices in line with BS EN ISO 19650 and the UK BIM Framework.
- Experience with SharePoint and other Information Management Systems (Asite, Project wise, Business Collaborator, Aconex).
- Understanding of ISO 19650 principles and UK BIM Framework guidance governing CDE, Information Containers and Information Exchange.
- Able to work as part of a team with good interpersonal skills.
- Experience in the creation / development of templates and guidance documents.
- Good understanding of Cyber Security principles, particularly RBAC (Role Based Access Control).
- Self-motivated and comfortable working in a matrix delivery environment.
- Self-motivated individual with ability to understand processes and work under pressure.
