Your new role
This is an excellent opportunity to work with the SLT with varied duties. Your main responsibility will be co-ordinating 'office management' activities across the Centre of Excellence (COE), supporting projects, managing company information on various portals used for bidding activities, managing content on the company intranet for COE / Finance related policies and procedures. Key duties are:

• Support to the COE Director, liaising and co-ordinating various activities.
• Be responsible for production and distribution of various reports.
• Assist the Business Finance Director responsible with the organisation & preparation for the Finance Training Day
• Management of various pre-qualification portals, including Achilles and Construction Line and all business opportunities relating to them.
• Cash allocation activities including credit card payments.
• Design, develop and maintain several Sharepoint sites to a high standard.
• Manage all administration for Finance students undertaking CIMA, ACCA & AAT. This will include training agreements, booking forms and student tracking information.
• Manage all invoice coding and checking relating to Finance training.
• Ad hoc communications (internal and external).
• Management of various functional mailboxes.

What you'll need to succeed
You will need to be highly organised, efficient, influential and confident to handle a variety of tasks whilst working without line management supervision. This role will suit someone with experience as a PA/EA/Office Manager/Senior Administrator with strong experience and the gravitas to manage a busy, complex and challenging role. As the role is remote working, with travel to Worcester once a month, you will need to be confident working from home and able to manage your time well.
Essential criteria for this role:

• Microsoft Excel - advanced level, in order to manipulate data for reporting purposes.
• Microsoft Outlook - intermediate level to organise, respond to and archive incoming and outgoing messages.
• Good working knowledge of Microsoft Word in order to produce reports.

Additionally, you will need:

With the CNO promote the refreshed Quality and Safety Strategy to drive the transformation of patient services in the Trust. Working with GPs and medical staff from across H&W ICS to create a compelling clinical vision which inspires clinical and other practitioners to engage in transformation. To provide medical policy advice and input to the Board, sub committees and designated activities. Provide strong, visible and professional leadership to the medical and medical model workforce. To fulfil the role of Executive Director and a voting member on the Trust Board. To ensure the Trust operates with safe and educationally appropriate staffing levels and provide assurance to the Trust Board and relevant Board Committees. Provides oversight of Caldicott Guardian responsibilities. Oversees revalidation of Medical Staff linked to the trust. To provide Executive Director accountability for Medical Education at both undergraduate and post-graduate level. To act as the Trust's lead on medicines safety and oversee the assessment and introduction of novel practices. To lead the clinical input into the Information Technology systems within the Trust, leading the Digital Care Record programme. To oversee the implementation of NICE guidance, NSF standards, work with GIRFT and other national best practice guidance. To review and take remedial action where clinical risks are identified. Leadership and Management To oversee all MHPS and medical disciplinary matters and referrals for external reviews. Promote a culture of openness and transparency, particularly in the sharing learning from deaths and serious incidents. To actively promote diversity and inclusion in the workplace. Patient Safety and Experience To monitor, review and improve systems and practices based on evidence based best practice, to deliver safe high quality patient care and to meet legal, regulatory and NHS requirements. To ensure that medicines safety policies are fully embedded and that the management of medicines is continuously improved. To promote services that are at the forefront of modern clinical practice and the patient experience is of the highest quality. Ensure a progressive and inclusive approach to patient safety, risk management and clinical governance. To enable an environment in which staff are encouraged to review and improve performance, practice and services to patients through training and development, Quality Improvement Projects, appraisal and peer review. Ensure there are robust arrangements in place for harm reviews of patients potentially impacted by delays in their care pathway and aspects of their treatment and care. Infection Prevention and Control To work in close co-operation with the designated DIPC to manage performance and ensure staff accept personal responsibility and accountability for Infection Prevention and Control practice within their sphere of responsibility. To ensure they are familiar with, and comply with, all relevant Infection Prevention and Control policies for minimising the risk of avoidable Health Care Associated Infection and undertake annual mandatory updates in Infection Control and hold all members of the medical staff to account for adhering to this requirement. To ensure that all Trust staff working to the medical model know what is expected of them with regard to infection prevention and control and ensure that they fulfil their responsibilities as part of their duty of care, the post holder will ensure that responsibilities regarding infection prevention and control are clearly identified in all job plans and appraisals. To work in close co-operation with the Chief Nursing Officer and Chief Operating Officer to manage performance against the duties contained within the Hygiene Code, and ensure the provision of safe, clean patient care environment. Clinical Governance In conjunction with the Chief Nursing Officer to develop and promote a whole system of clinical governance that maximises clinical time on improvement, while ensuring governance, oversight and accountability is delivered effectively at divisional & corporate level. To ensure that there are fully functioning systems and processes in place for the timely reporting and subsequent investigation and identification of lessons learnt from all incidents, serious incidents and never events. To provide the Trust Board with assurance on all aspects of clinical governance. Ensure that there are links between the corporate risk register and the Board Assurance Framework and work with the Company Secretary to ensure that risks are being escalated to the Board as appropriate. Use of Resources To ensure safe medical staffing models are in place and that these are compliant with national standards. To be the executive lead for the medical workforce. Responsible for the development and implementation of recruitment and retention strategies for the medical model workforce to reduce the reliance on temporary staff. To ensure value for money of the clinical workforce by ensuring premium staffing costs are only incurred where necessary for patient care/ safety. To manage staff and designated resources in line with Trust policies. This includes ensuring effective two way communications and continuous staff development through the appraisal process. To ensure appraisal is embedded in the organisation and undertaken annually by Medical staff and those working to the medical model. To ensure resources are effectively and efficiently deployed and provide support to Divisions on the planning and management of services. To put in place and review plans for managing peaks in demand e.g. during winter and major incidents. Performance Management To support the Chief Operating Officer to monitor Trust and Divisional performance against activity plans, standards, targets and budgets and intervene holding to account and taking corrective action where appropriate. To support the Chief Operating Officer to put in place and review plans for managing peaks in demand e.g. during winter and major incidents. To provide support to Divisions and Directorates on the planning and management of Clinical services, promoting a consistent approach to developments and standards in practice and service. JOB PURPOSE: To provide a high level, comprehensive, efficient and confidential secretarial/administrative service to the Directorate Manager for General Surgery and Urology, the Directorate Manager for Trauma, Orthopaedics and Vascular, and the Directorate Manager for ENT, OMFS, Dermatology and Audiology, utilising a full range of technical skills in the production of correspondence, reports and presentations without supervision. The role includes the co-ordination, administration and facilitation of the teams to ensure that the Division can deliver its core objectives and targets. Key Duties The range and diversity of responsibilities will require the post holder to adopt a flexible approach. The ability to work independently, with competing priorities and to tight deadlines is essential. The post holder is a key member of the Divisional Team whose overarching goal is to enable, promote and support the effective use of data, information, knowledge and technology to improve, inform and support a portfolio of projects, services, and initiatives for three Directorates. DUTIES AND RESPONSIBILITIES To act as first point of contact for the Directorate Managers in the Surgery Division, dealing with staff at all levels inside and outside the Trust To work autonomously, prioritising own workload including carrying out enquiries and investigating issues, to ensure that an efficient service is always provided to the Directorate Managers. To manage the diaries for the Directorate Managers, including resolution of conflicting diary appointments. Provide efficient and confidential administrative secretarial assistance by developing, maintaining and updating filing systems, administrative procedures and personnel files. Take responsibility for the efficient organisation and maintenance of filing systems, ensuring that all papers for meetings are available and that there is an effective bring forward system ensuring that confidentiality is always maintained. Organise and maintain any archiving/storage facilities for personnel files within the Directorates and ensure that documents are stored electronically. Take responsibility for all matters relating to incoming and outgoing correspondence including monitoring of emails, initiating replies to routine correspondence on behalf of the Directorate Managers as necessary. In the absence of a Directorate Manager, to be responsible for the forwarding or re-direction of urgent items of business or correspondence. Be the initial point of contact for telephone and face-to-face enquiries from internal colleagues and external agencies, dealing with confidential, sensitive, complex and contentious issues as well as dealing with complex enquiries, and responding accordingly to ensure appropriate action is taken on specific issues. Ensure that all messages are prioritised and communicated to the Directorate Manager or other member of the Directorate Management Team. In the absence of the Directorate Manager initiate action where necessary and monitor action taken. Ensure that information requested from staff is received in a timely and accurate manner. Gather information requested by the Directorate Managers and present in a useful format, disseminating any information, which may be of interest to other staff members, associates and outside agencies. To cascade Trust information to staff within the Directorate teams via appropriate methods and to liaise with the Directorate Managers and the Directorate Management Team where appropriate. Maintain annual leave, sickness, study leave records ensuring leave does not coincide. Maintain the personal files for the staff within the Directorate Management Teams. Co-ordinate the recruitment processes, providing administrative support and arrangements for interviews on behalf of the Directorate Managers. Provide secretariat role to the Directorate Meetings and other committees. This will include co-ordinating and facilitating meetings, taking full responsibility for identification of agenda items, drafting agendas, taking formal minutes and identifying actions, distribution of relevant papers and ensuring follow-up action is undertaken. Conduct polite and courteous telephone conversations with all stakeholders demonstrating patience and understanding of whichever dilemmas they may be facing in a reassuring manner. To provide cover in the absence of the PA to Divisional Directors to ensure the smooth running of the service during planned and unplanned leave. Establish communication and maintain links with other staff and associates to ensure an effective and efficient administrative/secretarial service for the Directorate Managers. Be responsible for the procurement of physical assets and supplies for the Directorates, raising orders when directed ensuring agreed financial guidelines are adhered to when orders are placed. To manage the stock control of stationery and non-clinical related supplies for the Directorates. Maintain the staff intranet pages for the Directorates, ensuring that the information is up to date. Other duties, commensurate with the post, as directed by Divisional Directors, Directorate Managers and the PA to the Divisional Directors.
