HR Task 

1. Manage the Time and attendance with employees and key stakeholders to ensure data accuracy.
2. Support in conducting new hire orientation for onboarding employees.
3. Arrange special activities and events such as company outings and other events.

Admin Task 

1. Handle any related documents in the administrative department i.e. company certificate, office leasing agreement. 
2. Contact and submit applications and relevant documents to government authorities, government license, and compliance as assigned i.e. SSO, Visa (if any).
3. General office management such as ordering computers/laptops, stationery, supplies, and equipment and monitoring its stock and equipment assets. 
4. Manage company facilities, including space planning/design, vendor contracts for all office equipment, IT outsourcing services, and office cleaning services. 
5. Coordinate the needs for Administration jobs such as site security, CCTV, and HSE management matters. 

Purchasing Task

1. Coordinating with suppliers to place orders, monitor inventory levels, and ensure timely delivery of goods
2. Reviewing order specifications and confirming that they meet company standards
3. Negotiating prices, terms, and conditions of contracts with vendors
4. Processing invoices from suppliers for payment according to company policies

Education: A bachelor’s degree is often a minimum requirement to perform a role, or choose to earn a degree in business administration, supply chain management, or another related field.

Experience: 2-4 years of related experience in this role with good business English is a must.

Skills:  

• Negotiation is the ability to communicate with others to reach an agreement. This role is responsible for negotiating contracts with suppliers that require you to be able to communicate your needs and expectations to the supplier and explain why you need certain terms in it.
• Communication is the ability to convey information to others in a clear and understandable manner. You are responsible for communicating with suppliers, managers, and employees which requires you to be able to write and speak clearly.
• Analytical skills are necessary to make informed decisions about products and services. You should be able to evaluate the needs of the organization, determine the best way to fulfill those needs, and analyze the cost of different options.

This role is responsible for conducting HR processes like onboarding, data management, and compliance, while also advising on service enhancements. The role manages employee records, collaborates on process improvements, maintains control standards, and aids in HR education and training. • Initiates, reviews, and approves daily HR system transactions, ensuring compliance with policies and procedures.

• Serves as a consultant to departments outside of the shared services program to help streamline and improve HR processes and procedures and to provide training on best practices.

• Maintains organization’s internal HR control standards, including timely implementation of internal audit points together with any issues raised by external regulators as applicable.

• Works with shared services managers to improve processes and systems to deliver a positive experience throughout the employee’s lifecycle.

• Contributes to educating HR generalists, people managers, and employees on practices and tools to encourage them to resolve issues on their own through HR systems and platforms.

Individuals who do well in this role at HP, usually possess:

Qualifications

• Experience in developing HR processes and process mapping, focusing on improving the employee experience.
