The Role

Job Responsibilities

• Maintenance and Updates: Perform routine maintenance and updates to ensure IT and Office systems run smoothly and continue to meet the needs of the organization without interruption. Regularly monitor IT and Office technology systems to ensure they operate securely and efficiently. This also involves checking for potential issues before they become actual problems that impact users.

IT Technical Support

• Technical Support and User Assistance: Provide first-line response to users requiring assistance with IT issues and queries, particularly those involving hardware and in-office technology. Workplace Management

• Site operations: Oversee all facilities management services for our cool 4,000sqft office, such  as cleaning, plants, pest control, fire safety, HVAC, electrical, waste and other repair & maintenance, stationery and pantry supply, locker management, meeting rooms, utilities, support during emergency, key control management. 

• Daily office inspections: Perform daily routine office inspections and take proactive measures to address issues to ensure the workspace and meeting facilities meet our standards and set our Oll-Stars up for success.

• Vendor management: Ensure facilities vendors are well managed, delivering services on-time and within budget.

• Regulations and Compliance: Ensure the provision of a safe and secure working environment, and compliance with statutory regulations on fire, health and safety standards.

• Event management: In collaboration with HR, organize Oll-Star events, either in the office or offsite. 

• Onboarding new employees: Provide hardware and system configuration for new employees, with the aim of enabling new joiners’ productivity as soon as possible. Ensure new employees are fully briefed on workspace policies, resources and in-office technology.

About the job

• Oversee and lead a team of assistant managers, engineers, technical officers, supervisors and technicians in facilities management for ministry building or hospital.
• Establish good working relationships with clients and develop trust and confidence.
• Establish and maintain quality service standards.
• Take charge of the overall Air Conditioning Maintenance Ventilation system.
• Manage the daily AC thermal comfort is within the acceptable limit
• Schedule maintenance activities for ACMV systems, tracking of maintenance works and follow up actions for systems such as chillers, AHU, FCU, fire protection, gas systems etc.
• Ensure regular meetings with client's and appointed sub providers
• Conduct daily audit inspections to ensure the outsource service providers are performing according to their contractual obligations and SLAs.
• Handle Tenant’s enquires.
• Conduct daily audit inspections to ensure the outsource service providers are performing according to their contractual obligations and SLAs.
• Manage and liaise with external agencies on new initiatives and major repairs and maintenance works.
• Prepare tender documents and specifications, plan, coordinate and execute rectification works.
• Responsible for project costing and control.
• Plan training requirement for staff needs for skills improvement
• Prepare and responsible for annual budget submission, audit report, assessment report for contractors' performance
• Prepare and certify contractors' payment

Requirement:

• Bachelor's degree in Mechanical Engineering or equivalent from a recognized university
• At least 8 years of related working experience
• Proven experience in facility management in a large facility, such as with , pharmaceutical, powerplant, semiconductor industry.
• Experience from healthcare facility such as hospital is preferable.
• Strong building and M&E knowledge with hands-on experiences
• Possess strong leadership, quality, good planning and organizing ability
• Has a good safety mindset and displays good WSH behaviors
