KEY RESULT AREAS/MAIN DUTIES AND RESPONSIBILITIES: 1. To be fully conversant with the Supply Chain Departments Materials Management policies, procedures and safe systems of work. 2. To use a hand held device to scan bar codes where required and order product lines to bring stock levels to agreed max stock levels, based on a top-up system. 3. Manage and maintain the Omnicell closed system cabinets using the correct procedures and safe systems of work. 4. Promptly deliver products to and manage Omnicell systems within the Trust. Including being responsible for the first line management of unfulfilled lines and review the reason why they are unfulfilled and take the appropriate action. 5. Manage the supplementary restocks in the Omnicell system. Including carrying out the routine cycle counts to verify stock levels in the Omnicell System. 6. Expedite missing/delayed items in Omnicell. 7. Raise orders via Oracle SBS or NHS Supply Chain EDC or other on-line systems. Including the ordering of alternative products from an approved list up to the agreed designated value. 8. Manage first line invoice queries and take appropriate action to escalate to the wider HPL Procurement and Supply Chain Team. 9. Physically deliver roll cages, flat bed trollies to wards and departments, break down roll cages, unpack and replenish cabinets, stores or store rooms in relevant wards and clinical departments whilst ensuring that first expired first consumed stock rotation is carried out continuously and any damaged/expired goods are appropriately removed from the point of care. Ensuring appropriate signatures are obtained. 10. To ensure that Wards and Clinical Departments have sufficient quantities of all product lines to carry them over weekends and Bank Holidays. 11. To ensure that deliveries received are correct against the requisition, including unit of issue. Investigate discrepancies and resolve queries. 12. Arrange uplifts and request credit where necessary for the relevant department. 13. To assist Materials Management Supervisor in assimilating, processing and keeping Materials Management performance data and records using key performance indicators (KPI). Complete all documentation necessary when required. 14. Carry out routine cycle counts to verify stock levels in the Omnicell cabinets and for non-cabinet areas carry out stock checks in line with the requirements of the company leadership team. 15. Control outstanding orders and escalate where appropriate. 16. Manage Supply X System for their area and escalate where appropriate. 17. At times of high demand or when the need for special requirements exist within a department or ward, attempt to source products from elsewhere in the Trust in collaboration with the Client an colleagues this may including asking neighbouring Trusts or the Nuffield for support. 18. To build and strengthen working relationships with customers. Proactively assess requirements and the use to which products are applied. 19. To assist the Materials Management Supervisor and ward managers with the promotion of product rationalisation, variation reduction and optimised inventory holding. 20. To provide a compliant and high quality service to agreed stock levels and timetable routinely meeting the required standards. 21. To achieve bi-yearly stock reviews 22. To assist ward and department managers in managing their purchases and levels of stock. 23. Implement product changes in the storage areas including re-labelling, new bar codes etc. as directed by the Materials Management Supervisor and in a timely fasion. 24. To assist the Procurement Department in the implementation of any new stock management or Materials ordering system, policy, process or initiative that may be adopted. 25. To generally act as liaison officer between ward and clinical departments and all sections of the Procurement Department and at all times to project a professionalism as the face of our managed service. 26. To provide cover for staff who are on annual or sick leave. 27. The post holder will be expected to carry out other appropriate duties as directed by the Materials Manager, which may include duties elsewhere within the Trust. 28. The contents of this post will be reviewed with the post holder in the light of future development of the Materials Management function. Customer Liaison 1. Work as part of a flexible, customer orientated team ensuring that a high quality of service is constantly maintained. 2. Liaise with all groups of staff within the trust and external trusts and agencies using the most appropriate method of communication (telephone, facsimile, electronic mail, written) Other duties to include 1. Co-operate with wards and departments in reporting accidents and/or serious defects in medical products or other supplies. Liaise with the appropriate distributor, supplier or the Medical Devices Agency to ensure compliance with Health and Safety and MDA regulations. 2. Any other duties consistent with the nature and grade of the post. Develop and improve relationships with other trust departments by ensuring quick and effective response to queries and complaints. 3. Seek to develop productive on-going relationships with procurement, clinical and trust staff and suppliers.
