We are looking to welcome an Assistant & Office Manager to our Telford team. We’re looking for an experienced individual to carry out office management; support Group Shared Service activity, liaise with 3rd parties (e.g suppliers, service providers, facility management) and all relevant internal areas and coordinate events such as meetings and team events. You will support the Travel & Expenses team in the event of staff shortages in day-to day business.
Please note that this is an onsite role.
Your challenge for the Assistant & Office ManagerOffice Management: -
- Provide basic technical support for the site.
- Support with minor IT problems for Group Shared Service (GSS) Employees and check technical equipment for signs of wear etc replacing defective hardware on site.
- Coordinate with the Facilities Management Team regarding issues such as repairs, facility supplies etc
- Participate in regular facility forums to provide support, highlight concerns and maintain good working relationships with key stakeholders.
- Liaise with suppliers to source estimates for office supplies and order supplies.
- Mail processing.
- Inventory and inventory management.
- Create purchase requisitions and check and post all location invoices in SAP.
- Implement and support all topics relating to Health & Safety in GSS in coordination with the Health & Safety Specialist; participate in regular meetings with the Health & Safety specialist to maintain knowledge and good practices.Group Shared Service: -
- Proactive management of the day-to-day queries from employees, escalating when required.
- First point of contact for external visitors/visitors from other sites, providing support when required
- Coordinate appointments, including the sending of invitations for team events etcEvent Management: -
- Provide site communication to GSS employees (site closures, catering manus, business updates or changes, newsletters, wellbeing information etc).
- Design and plan the annual GSS wellbeing activities/event schedule, obtain costs and ensure correct approval to ensure events are cost effective and within budget; track and report event annual costs to Head of Travel, Fleet & Expenses.
- Plan, organise and execute all GSS events (workshops, away-days, volunteer days etc).Support Travel & Expenses Team: -
- Provide support in daily business and in process optimisation and harmonisation.Other: -
- Provide a secure and friendly work environment for all GSS employees.
- Deliver GSS new employee site inductions to include site and Factory tour and office technology training.
Key skills & experience for the Assistant & Office Manager: -
- Advantageous
- Holds an Apprenticeship in a relevant discipline.
- Experience in Office Management, especially in ordering and liaising with external service providers.
- Experience in event management and in the organisation of business trips.
- Confident with MS Office.
- Excellent communication skills, both written and spoken.
- German and Polish speaking would be beneficial.
- Ability to work under pressure; diligent, conscientious and analytical.
- Reliable, concentrated working style with excellent numeracy skills.
- Deadline orientated.
- Excellent relationship building skills.
- Shows empathy and able to maintain confidentiality.
