The post holder will ensure patients and stakeholders of the Trust receive an excellent standard of customer care and administrative support. The post holder will be accountable and responsible for the line management of identified non-clinical staff within the Data Quality team. They will be required to support the Data Quality Manager in the selection and recruitment of staff, including administering professional development reviews and annual appraisals, to motivate and ensure staff are up to date with training requirements in all areas, assisting with training when required. The post holder will also be responsible in promoting development. The post holder will provide support/supervision at all times and be responsible for the allocation of work for identified non-clinical staff. The post holder will be required to deputise in the absence of the Data Quality Manager. The post holder will support the collection and accurate recording of information on all clinical systems. To proactively monitor and validate Referral to Treatment (RTT) pathways to ensure patients waiting times are accurately recorded. To maintain the Trust RTT Patient Tracker List (PTL), ensuring patients are placed on appropriate pathways. The post holder will be actively involved in Trust auditing and drafting reports for analysis. When identified, to organise and deliver training to departments or individuals to ensure improvements with Data Quality within the Trust. KEY TASKS: Support and System Development To be responsible for the validation of all Referral to Treatment pathways to ensure national and local RTT rules and access policies and guidance have been followed. To ensure accurate and timely data is recorded on the relevant clinical systems against the relevant pathway. To liaise with a variety of relevant departments to facilitate earlier bookings of appointments or tests where available to ensure breaches are reduced. To escalate areas where workflows are not being followed across pathways to the Data Quality Manager. To also investigate these areas to see if training needs to be provided or propose workflow changes to be implemented. To process map teams in order to understand workflows and analysis where improvements to streamline the service may be identified. To liaise with relevant operational staff groups and individuals to plan, organise and deliver relevant RTT/workflow training. To run regular Data Quality reports to ensure staff within the team are working on up-to-date lists and to see if training implemented reduces inaccuracies in the data. To produce and present reports and statistics including complex information from multiple data sources and components including SPC, trend analysis and focussed action plans to drive improvement. To collate, analyse and interpret data to share with external organisations including the local ICB, NHS E and others as appropriate. To prepare reports for analysis following completion of the monthly audit programme using a range of tools including Excel and PowerBI. To communicate audit reporting to staff to provide awareness of the implications in relation to activity data, performance and effectiveness. To develop Standard Operating Procedures and ensure workflows are in line with Trust Policies. To participate in projects as directed by the Data Quality Manager. To be a point of contact for Business Continuity purposes. This may include supporting the Data Quality Manager in assessing Business Impact Analysis in order to identify Business Continuity plans. Leadership & Change Management To assign weekly worklists and provide training to the team on how to complete specific lists. Complete regular data quality audits and feedback the outcomes as appropriate to the Data Quality Manager. To delegate and ensure time critical tasks are completed by their deadlines or escalate to the Data Quality manager if support is required. Use specialist knowledge of trust systems and workflows to identify areas of data quality that require improvement and work with the appropriate staff to make improvements. Support the introduction of new systems and collate and feedback development of, and changes to, existing systems. To line manage and support the Data Quality team in line with trust policies and procedures, including authorising leave requests. To undertake supervisions, appraisals, staff training and development as applicable. Monitoring mandatory training for the Data Quality staff as delegated. To report sickness for identified staff and arrange sickness reviews and support plans in line with Trust policy. To lead and co-ordinate regular designated meetings. Ensuring staff are informed of organisational objectives and updated with service developments. To ensure actions are completed, and issues are escalated to the Data Quality Manager where appropriate. Responsible for carrying out detailed induction to new and temporary staff. Education & Training To use workflow knowledge to support planning and delivery of delivered alongside the Data Quality Manager. Using knowledge of national and local guidance, support the RTT and e-Care training programmes, including delivery of training to individuals and groups as required. Including the production of training materials as appropriate. To support the Data Quality team by feeding back themes from audits, supporting staff where extra training is required and delivering training as needed. To keep up to date with national and local policy changes, including patient access policies and RTT wait time rules. To be responsible for own personal development, including support the Data Quality Manager in the development of the Data Quality Team. Professional Conduct and Professional Development Develop and maintain own professional knowledge and skills through learning. Deputise for Data Quality Manager in their absence as appropriate. Attend and contribute to all internal and external meetings as relevant to the post. To ensure health and safety issues around the Trust buildings are monitored and reported to the appropriate departments. To undertake any other appropriate tasks as requested by the Data Quality Manager to meet the needs of the service.
