Job objectives and responsibilities
As a personal assistant you will be supporting the Director by organizing and managing specific areas of work to ensure the office runs smoothly and efficiently. You will maintain diaries, arrange appointments, meetings, travel, and accommodation as needed. Screening incoming communications, answering routine questions, taking messages, and referring inquiries to internal contacts will also be part of your responsibilities.
You will produce and distribute documents and information, often of a confidential and sensitive nature, in a timely manner that aligns with company standards for efficiency and accuracy. Creating and maintaining both manual and computer records is essential to ensure that information is up to date and easily accessible.
Receiving and greeting internal and external visitors is important, ensuring they feel welcomed and that their contacts are informed of their arrival. You will take minutes during meetings and circulate agendas to accurately record and share the contents with participants and others involved.
Additionally, you will handle all office administration tasks, such as managing post and stationery, to ensure the office operates smoothly at all times. Typing and composing letters as required will contribute to the efficient functioning of the office. Financial administration tasks may also be part of your duties. Finally, you will support the wider administrative team by undertaking various tasks to assist in the overall smooth running of the establishment.
Person Specification
The ideal candidate will have previous relevant administrative experience, particularly as a secretary or personal assistant. Confidence in basic to intermediate skills in Microsoft packages, including Outlook, Word, and Excel, is essential. A strong attention to detail and an excellent standard of written communication and record-keeping are also important.
The candidate should be confident, tactful, and skilled in interacting with senior managers and external stakeholders, both in person and over the phone. Being organized and capable of planning and delivering tasks effectively and in a timely manner is crucial.
Desirable qualifications include relevant experience or certifications equivalent to Level 2 or above, such as CSE grade 1, GCSE grades 9 through 4 (or A*, A, B, C), intermediate apprenticeships, Level 2 awards, certificates, diplomas, O-Levels (A, B, or C), or an NVQ Level 2.
