3. Attentive to answer and screen all incoming calls, raise Purchase Orders for all stationery, manage site office supplies and equipment like online printers, scanners, wifi, staff computers and communicate with the office HR department for assistance whenever necessary.
4. Handle worker's monthly salary, supplier’s payment, monthly petty cash, preparing site working pass, induction records, assist in preparing correspondence to project consultants, clients, sub-contractors, filing of all delivery orders and documents in a systematic order for annual site and government audits.
5. Handle site staff's monthly timesheet, leave application, OT application and approval and onboarding for new staff.
6. Circulate to site staff site correspondence and ensuring their timely endorsement and filing to meet company’s ISO requirement.
7. Understanding worker's pay policy. Prepare, process and complete worker's salary by deadline to ensure accuracy and timely submission to HQ.
8. Updates foreign worker’s address to ensure workers have proper registered address, ensure workers attend courses as scheduled, ensure proper handling of work permit card & passport.
9. To assist in arranging workers dormitory, transportation for the workers.
10. Able to assist site staff in ordering of hardware materials and keep proper records ie requisition form and DO.
11. To manage and resolve conflicts, feedback and complaints pertaining to project.

Duties & Responsibilities include:

• To carry out taking off quantities;
• To source quotations for relevant trade works including price comparison and cost analysis;
• Ability to raise tender queries/ design discrepancies timely for clarification;
• Ability to handle tender correspondences and addendum to update changes made to tender documents;
• To assist in compilation of tender submission including tender qualification; and

Requirements:

• Possess Diploma/Degree in Quantity Surveying;
• Fresh graduate/ 1-3 years’ working experience related to main building tenders;
• Good knowledge of reading specifications and building drawings;
• Able to work under pressure and meet tight deadline;
• Proficient in Microsoft Office;
• Ability to work with digital softwares (ie Cost X/ Glodon) would be ideal; and
• Meticulous, independent with good communicative skills; and a team player.

1. Contract Administration – attend to contract matters related to the Client / Consultants and Sub-contractors and ensure that the site staffs are aware of the contract obligations to client and subcontractor workscope.
2. Procurement – sourcing Sub-contractors / Suppliers, call quotations, cost comparisons, request for PO bearing in mind to obtain the best price and conditions for the project budget.
3. Progress claims & payments - Prepare & submit progress claims to the Client and assess Sub-contractors’ claims and prepare payment vouchers for approval such that the cash flow for the project are adequate and sufficient.
4. Monitor and update monthly cost report to HQ and PM which consist of project expenses, financial status such that the HQ / PM can make necessary site adjustment if needed.
5. VO Claims - Identify variation works and submit claims.
6. Study Architect Instructions issued and report on time and cost implication (if any) to PM to make the appropriate decision.
7. To assist the team in site coordination / arrange meetings with Sub-contractors and Suppliers for work progress purposes where necessary.
8. To attend to project / technical meeting and advise PM on cost queries from Owner / Consultants in order for the site progress to proceed smoothly.
9. Carry out proper and accurate measurement, ie taking-off quantities for claims / payments purpose to ensure no overpayment.
10. Coordinate with the site team to prepare relevant documents for monthly progress report submission, i.e. cash flow, Sub-contractors list, AI list, VO list etc. as required for submission to the Client / Consultants.
11. To work up the final costs of the project and each trades and advise the PM on the final account settlement with the Client and Sub-contractors such that all parties are amiable to the cost evaluation.

1. Analyse potential savings for new awarded projects in order to maximise profit.
2. To monitor, study and subsequently tabulate site completion report upon project completion to track and improve budgeting tactics.
3. Obtain quotation and market pricings for all trades to update pricing database to ensure Requisition of Purchase Order (RPO) rates and future budget rates are within reasonable limit.
4. Generate charts / graphs on pricing trends to monitor and predict market trends in order to forecast possible changes in pricings in the near future.
5. Negotiate with subcontractors/ suppliers to obtain best possible pricing for project sites and study the possibility of bulk or package award.
6. To check the terms and conditions of quotation and pricing for RPO from site to prevent any hidden or additional costs and to ensure all scope has been covered in Purchase Order (PO) awarded.
7. Check comparisons for RPO from sites and check the exclusions in the quotations to prevent hidden costs.
8. Monitor site PO requisitions and advice project sites on urgent or outstanding awards to ensure timeliness of award to prevent delay to project.
9. Keep track and update site expenses and monitor against site budget to ensure all expenses are within budget.
10. To conduct quarterly site discussion with Project Manager and Quantity Surveyor on respective sites to brief budget status to ensure all expenses and future expenses are in order and for site to plan and control future expenses.
11. Source new contractors for quotation and pricing comparison against existing contractors to check and compare with current existing contractor’s pricing.
12. To check company track records and project references prior to award of new contractors or suppliers to ensure reliability of the contractor/supplier.
13. Feedback to Cost Planning Department on latest pricings in order to obtain a more accurate tender pricing.
14. Compile and check monthly cost reports against projection and record monthly cost difference with reasons and proper substantiation.

1. To coordinate with consultants/subcontractors on the shopdrawings/ samples/ method statement and keep all involved parties updated of the latest changes.
2. To attend to project/technical meeting and resolve site issues with owner/consultants in order for the site progress to proceed smoothly.
3. To verify the work done on site are in accordance to the approved drawings/ specifications/ authorities requirement and also ensured that the subcontractor carry out rectification for non-compliance.
4. Conduct weekly M&E meeting with the M&E sub-contractors to ensure that their works are in proper sequence and also ensure that the site supervisors are aware of the work sequence so as to avoid clashes of site activities.
5. To resolve site issues with consultants/subcontractor/supplier ASAP in order to minimise delay to the construction progress.
6. To ensure that the related documentations are updated and ready for ISO audit.
7. To cooperate with the safety department and carry out the assigned duties within the safety framework.
8. To coordinate with consultants and contractors for combined services/equipment testing so that site is ready for authorities inspection.
