The Management Support Assistant performs the following major duties:
- Performs complex and/or sensitive management support functions for the Office of Medical Services, e.g. coordination in case of death of a Volunteer (DOV); coordinating document collection, organization and preparation to respond to IG, Congressional and EEO inquiries; preparing comprehensive data reports including Regional Medical Hub dashboards.
- Serves as a POC for new staff and current OMS staff on administrative functions; assists OMS management with hiring processes including organizing resumes and interview panels. Supports the OMS Director on a daily basis in managing administrative functions as well as coordinating special projects and assignments with other OMS and OHS administrative support staff.
- Prepares materials used in staff meetings, determining the agenda and items to be discussed including capturing key points. Develops materials for the supervisor's use in public speaking engagements.
- Provides a variety of logistical coordination to team activities, facilitates meetings by arranging conference rooms, teleconference, etc. Records minutes of the meeting and shares/follow-up on discussed actions.
- Functions as a technical resource to gather information and conduct analysis for the resolution of an extensive range of management and program support issues and problems. Corresponds with internal and external stakeholders in oral (phone) and written (email) format. Creates technical and promotional material for OMS services.
- Maintains file and records system for OMS. Collects, organizes, stores, and retrieves documents/information containing a broad spectrum of information to support volunteer OMS services.
- Participates closely with the Director of Medical Services in scheduling his/her travel, including itineraries, supporting documents, and reimbursements. Ensures policy guidance is applied to process travel requirements.
- Interprets data to identify problems, and determines the specific nature of problems or issues to resolve them.
- Attends meetings, notes commitments made, informs staff of the commitments, and arranges for staff to implement them. As requested may be asked to attend meetings on behalf of the Director of Medical Services and take summary notes of inter-agency, intraagency, and/or conference meetings.
