The Role
On a normal day, the Assistant Project Manager may work alone or with a team. The successful candidate will undertake the following duties and more as instructed by the Project Manager:
• Ensure department’s team project work activities are well coordinated.
• Perform project administrative duties including disseminate project information, monitor project activities milestones, develop and maintain project deliverables, gather and input data into database, and generating documents such as Project Management Plan, Project Timeline (MS project and MS Excel), SOW, acceptance test, certificate of completion etc.
• Organise project meetings and prepare related materials, including reports, presentations, agendas and other meeting collateral.
• Schedule and participate in project meetings with clients and record meeting minutes accurately.
• Lead projects from requirements definition through deployment, identifying schedules, scopes, and project implementation plans, including risk mitigation.
• Engage vendors and systems integrators independently for project implementation, maintenance operations and system troubleshooting activities.
• Coordinate internal and external resources, ensuring projects remain within scope, schedule, and procurement management, in collaboration with team members from various functional departments.
• Analyse project progress and, when necessary, adapt scope, and timelines to ensure that project and engineering team adheres to project requirements.
• Report project outcomes and/or risks to the appropriate management as needed – escalating issues as necessary on project work plans.
• Establish and maintain relationships with appropriate client stakeholders, providing day-to-day contact on project status and changes.
• Act as a point of communication between company teams and external resources.
• Perform analytical project planning with detailed of scope providing details such as man days and effort required for project.
• Handle renewal process by following internal process and, engaging customers.
• Review and update on project, support and maintenance register ensure data has no discrepancy.
• Submission of clearance to site and, site visit during deployment works for coordination.
• Analyze hardware and software solution, understand and flag out risk with mitigation to relevant stakeholders.
• Assist in tender submission phase, planning of scope, timeline and documentation as required.
• Maintains safe and clean working environment by enforcing procedures, rules, and regulations.
• Maintains company reputation by complying with state regulations.
What Requirements You Need
• Diploma or Degree in Infocomm Technology or Information Technology.
• Minimum 5 years of IT project management experience particularly in planning scope and timeline planning etc.
• Proven experience in managing at mid-sized to big size projects to relate better in preparing project management plan.
• Experience and understand project lifecycle phases from initiation to closure.
• Proficient in MS Project, MS Excel, Word and Power point application with proper formatting.
• Well versed in IT technical knowledge and able to understand technical jargons in servers, switches, and software. Updates job knowledge on new IT products.
• Able to prioritise activities and deliver datelines on time in time pressured environment and within budget.
• Meticulous and possess an eye for detail with a high degree of accuracy.
• Dependable and can be relied on to uphold responsibilities without having to be micromanaged.
• Proven success working with various functional team.
• Strong written, verbal communication and presentation skills.
• Strong attention to deadlines and budgetary guidelines.
• Strong teamwork and client-facing skills.
• Candidate previously promoted from systems or network engineer is a huge bonus.
• G50 clearance is required.
