POSITION SUMMARY:

The position will also include project management of studies within General Internal Medicine and Population Health. The position entails handling the day-to-day administrative and management issues related to ongoing research studies in coordination with the Principal Investigator/leadership team, including supervision of project staff; project fiscal management; coordinating with project collaborators; overseeing accurate project implementation; ensuring compliance with all reporting requirements; development of study protocols and operating procedures; managing research databases; serving as a study liaison with the IRB; and assistance with grant applications.

JOB RESPONSIBILITIES:

The Project Manager (PM) is responsible for leading research projects to satisfy a defined goals or scientific objective. Research projects will include small-to-large funded and unfunded studies in the Division of General Internal Medicine and evaluations of programs within Population Health Services. Duties include the following:

Staff Management

• Responsible for effective personnel management including training, directing, mentoring and instilling a commitment to quality and excellence.  Coordinates resources and work load to achieve objectives and strategies.
• Maintains effective/appropriate staffing by monitoring employee turnover, overtime, and absenteeism. Coordinates and maintains the monthly schedule for project coverage.  
• Monitors productivity/performance to identify and evaluate strengths and training opportunities; Conducts employee performance evaluations and disciplines when appropriate to include termination, with appropriate supportive documentation.
• Works with Human Resources and department managers on the selection of qualified employees for employment following all policies, guidelines, and applicable laws.
• Encourages staff and personally advances professional growth and development through participation in educational programs and workshops and maintaining knowledge of industry standards and practices.

Operations Management

• Interacts with sponsors, including internal and external funders.
• Coordinates efforts of faculty, collaborators, analysts, and staff.
• Ensures study implementation, operations, goals and IRB regulations are being followed accurately and within IRB and study guidelines.
• Oversee data collection procedures and review instruments to ensure quality control. Acquires and maintains knowledge of systems and databases

Finance Administration

• Create annual operating project budgets, monitor actual results in accordance with budget and funding source regulations (Federal, State, Grantors.).  Forecast fiscal operational needs.
• Monitor all grant expenditures and disbursements for adherence to budget guidelines and award notices.
• Participates in grant renewal processes. Prepare, administer and ensure timely grant submissions.  Assist investigators in developing and preparing grant proposals, including drafting, editing, and preparing back-up data documentation for the submission.
• Oversees all aspects of general accounting, accounts payable, miscellaneous billing and receivables, account reconciliations, payroll coordination with BMC, grant funding, etc.

Project Management

• Coordinates/facilitates the research project management life cycle, including initiation, development, and implementation of various projects.
• Coordinates research teams, and manages research project timelines, to ensure research milestones are completed within the specified and in line with annual objectives.
• Interfaces with IRB and drafts IRB protocols, amendments, continuing reviews, etc. Prepare substantive aspects of research grant proposals and IRB applications, especially literature and database searches, and assist with conducting analyses for various other projects.
• Meets regularly with PIs, research staff, study teams, and Population Health Services teams to collect and communicate business and research requirements, and set expectations for research-related work.

About the Role:

The Senior Manager, Institutional Business Management will play a key role in supporting the management and growth of AGF’s institutional business in North America including identifying opportunities and executing initiatives that support business transformation and aggressive growth in sales and revenues. 

This role will operate either out of our Boston or Toronto office.

Your Responsibilities:

• Work with the institutional sales team in North America as well as with key internal partners to identify and implement enhancements and integrations with Salesforce, key external databases to facilitate, automate and transform the institutional sales-process, ensure dashboards are relevant and up-to-date and to help integrate and transform aspects of institutional sales, sales support and business management processes.

In this role, the Strategy and Operations Manager will serve as a business partner to the Customer Success organization while being responsible for helping to translate the corporate strategy into division-specific corporate initiatives. Beginning with the Customer Onboarding process through ongoing Customer Success management, the Strategy and Operations Manager will be tasked with defining and reporting on key performance indicators (KPIs) at every stage of the customer lifecycle while designing, implementing, and ensuring adoption of Customer Success process standards and best practices. This individual should be comfortable analyzing and working with complex data to extract business insights that impact performance. • Stakeholder management; act as a business partner to the Customer Success leadership team and executives, providing insights to help shape the strategy of the business

Typical Qualifications 

• Bachelor's Degree in Business, Finance/Accounting Operations/Supply Chain/Engineering required. MBA preferred. 

• 5+ years of experience in financial services, management consulting, corporate finance/strategy, analytical/business process improvement, or operations strategy 

• 2+ years of strategy consulting firm experience preferred 

• Prior experience with Salesforce, strongly preferred

  • Calendar Management. Manages the daily details of the SVP's calendar, ensuring time is optimized by exercising considerable discretion and judgment to prioritize obligations, and ensuring full and advanced preparation. 

  • Meeting Preparation and Execution. Proactively communicates with colleges to ensure all materials required for SVP and DSO meetings are prepared in advance. Schedules events and monitors attendance; prepares agendas, presentations and materials; manages room booking, sets up and technology; orders and acquires food/other supplies for meetings or events; staffs meetings to document minutes and action items; provides prompts for follow-up on necessary action items to DSO. 

  • Communications. Provides executive level support on all correspondence and communication on behalf of the SVP and DSO, including drafting and editing memos, letters, correspondence, reports, presentations, press-releases, publications, and proposals; updating website; maintaining contact lists; responding to inquiries in the absence of the SVP and DSO; and serve as a liaison between the SVP/DSO and internal departments, external stakeholders, and partners, ensuring effective communication and collaboration.

  • Trustee Matters. Manages all Board of Trustees matters staffed by the SVP and/or designee(s) with detailed management of deliverables and timeline.

  • Travel Arrangements. Coordinates and provides detailed itineraries for day-to-day and extended domestic/international travel arrangements (flights, hotels, taxis, couriers, meetings, etc.).

  • Expense Reconciliation. Submit and reconcile expense reports on behalf of the SVP and DSO.
     

• 15% Office Management

  • Frontline Services. Staff front desk reception in-person daily, providing exceptional customer and frontline services to students, staff, faculty, trustees, and other visitors to the office, managing phones, emails, and voicemails, providing quick and proactive support. Ability to manage a wide range of inquiries with empathy and care, and quickly identify the support needed and connecting to appropriate resources.  

  • Office Organization & Operations. Carry out administrative duties such as filing, typing, copying, printing, binding, scanning, sorting, etc. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; ensuring office is organized and presentable, stocking supplies. Maintain up-to-date manual of office procedures. Checking and distributing the mail. Implement and manage effective organization and filing systems, digital and paper. Ensure operation of equipment by completing preventive maintenance requirements; coordinating repairs and troubleshooting; maintaining equipment inventories; evaluating new equipment and techniques. 

  • Purchasing and Budget. Manages all purchasing, contracting and budgetary responsibilities. Tracks budget by maintaining up-to-date records of transactions, projections and commitments. Completes monthly reconciliation and executive-level reporting to DSO. Assists DSO in the development of the annual budget. 

• 10% Project and Event Management

  • Project Management. Assist DSO in planning, coordinating, and executing projects and initiatives by developing effective approaches planning, including the utilization of project management tools that support implementation, tracking and reporting. Balance independent work while effectively communicating project status and flow while managing multiple projects simultaneously, ensuring their successful completion within established timelines and objectives.

  • Relationship Management. Lead managing the relationships and work with vendors and campus partners.

  • Event Planning. Lead planning, coordination and execution of key SEE events, including researching venues, estimating costs, meeting with vendors, touring locations, managing vendor relationships, building detailed run of show and preparing and managing all day-of logistics. Examples of events include a 2-hour summer boat cruise, after-work socials at local establishments, student focus groups, annual all-staff retreat (~200 staff), annual leadership retreat (~50 staff).

  • Student Employees. Delegate work to student employees, and provide guidance and support during their learning journey.

• Other responsibilities and projects as assigned. 

SPECIAL WORKING CONDITIONS, PHYSICAL REQUIREMENTS, ETC.

• Active and timely monitoring of email correspondence (including weeknights and weekends).

WORK ENVIRONMENT: Work is primarily performed indoors in an office setting, with travel outside across campus occasionally throughout the week. The noise level is typically low to moderate, however this role is in an open workspace and the candidate will need to be able to perform duties while visitors are in office. The employee may be required to lift lightweight objects.

Job Overview

Sponsored Project Management

The Senior Project Manager is responsible for financial management of the sponsored project to ensure compliance with sponsor's requirements and University's policies and procedures.
