Directly lead Supply team

• Create and manage a robust and cost effective Supply team within the Country, with specific emphasis on demand planning, security and replenishment of supply, total cost of supply, inventory and risk management, S&OP, logistics, order management and related Supply activities.
• Ensure a proactive review of Country demand inputs with Commercial and key stakeholders, proactively identifying and resolving potential supply issues.
• Lead the operation of the Country S&OP processes and support of the commercial review process
• Co-ordinate Budget and Financial Plan preparation (ensuring realism & consistency) based on thorough assessments of forecast, economics, products, opportunities and resources.

Receiving pre-alert & creating file

Settling problems with sales / agent (if any)

• Incorrect details on docs: checking with agent for correct details, preparing docs for the amendment (at port or TCS) if any
• Unclear rate: checking with sales / agent before issuing Debit Note / Credit Note.
• Getting claim from client: sending claim letter to whom it may concern (carrier / airlines) & following till the end (with BU or OPM)
• Getting claim from sale / agent: checking the case carefully & feedback till the claim ends.

Issuing invoice to clients / agents

For DDU/DDP shipment:

• Quoting to client / network.
• Following the delivery with port staff till the end.

For re-export shipment:

• Getting Refusal Letter from client.
• Passing file to Export Dept (Air or Sea) for following up & supports them if needed.

Fulfilling docs with all requested papers (check list, calculation sheet, tracing report, etc.) before passing file to BU for file closing.

Objectives of the assignment

The overall intention of this project is to support Phuc Sinh to establish a GIS-based platform to promote its supply chain management and risk management for IFC-PS, Rainforest Alliance (RA) standard and EUDR compliance in the Central Highlands of Vietnam.

• Develop a traceability monitoring system for certified actors which include smallholders within the PS’s supply chains in complying with the RA and EUDR for the project areas (Dak Lak, Dak Nong, Son La)
• Provide traceability monitoring system for conventional farms that PS is sourcing their material outside of certified project in accordance with the project framework (ESAP). 

Activities/Tasks

The following activities are performed under the guidance and supervision of Phuc Sinh Group’s Sustainability Team and SNV’s specialist and the selected external TA.

• Developing GIS based monitoring system with geolocation and related information of certified householders’ layer in the projected areas in accordance with available information on: RA requirements, deforestation free EUDR, NDPE standard, and biodiversity etc.. at farm levels
• GIS based monitoring system chieving landscape-level NDPE standards, EUDR requirements in the conventional supply chains, and at least 30% farm-level have ensured of compliance to these standards
• Developing a traceability application that’s integrating GIS based information and monitoring system for these certified and non-certified supply chains in project areas
• Testing the application and verifying the system by local/related stakeholders
• Presenting/Training for IMS and local stakeholders for using the application in establishing and monitoring of Phuc Sinh’s supply chain management plans

Deliverables

• Geolocations on GIS based monitoring maps with required information as above (RA, EUDR/NDPE, Biodiversity etc.)
• Traceability applications for certified and non-certified supply chains which are tested/verified by the users

In addition, the GHG assessment will provide result-bases for Phuc Sinh’s carbon footprint for global branding. 

Activities/Tasks

The following activities are performed under the guidance and supervision of Phuc Sinh Group’s Sustainability Team and SNV’s specialist and the selected external TA.

• GHG emission calculation from improving practices of certified farms of RA’s compliance vs. conventional farms by using proper methodology to related farms’ inputs, energy usage, irrigation, IBM, etc.
• GHG emission assessment for PS's facilities (factories) according to current policies in VN, ISO 14064, and reference to international standards.
• Develop a GHG management plan for PS that includes a GHG inventory management plan and formalise data collection methods, procedures, processes, and reporting.
• Presenting/Training for IMS and related stakeholders for adopting and updating GHG emissions calculation/inventory management plan

Deliverables

• Comprehensive GHG report for both farms and factories of Phuc Sinh
• GHG management plan for PS that includes GHG inventory management plan
• Verification of findings and results with a proper third party and related local stakeholders
• PPT version for training IMS and PS’s team, certification of 25 officers on ISO 14064 awareness.
